Role Summary
We are recruiting a Hire Desk Administrator to join our hire desk and customer service team. The successful candidate will provide front‑line administrative support for hire bookings, enquiries and contract processing, ensuring excellent customer service, accurate documentation and timely coordination between customers, depots and transport. This role requires strong organisational skills, attention to detail and the ability to manage multiple priorities in a fast‑paced environment.
Key Responsibilities
Manage incoming enquiries by phone and email, providing professional, customer‑focused responses and progressing hire requests through to confirmation.
Create, amend and process hire agreements, job sheets and delivery/collection paperwork accurately and in line with company procedures.
Input and maintain hire bookings, customer records and equipment availability in the hire management system; ensure data is accurate and up to date.
Coordinate with depots, transport planners and workshop teams to confirm availability, delivery/collection timings and any special requirements.
Raise and manage quotes, invoices and credit notes where required, escalating billing queries to the finance team.
Monitor hire durations and follow up on overdue returns, liaising with customers and depot staff to arrange collections or extensions.
Record and escalate equipment damage, incidents or customer complaints in accordance with company processes and support resolution where necessary.
Support stock control activities, including equipment checks, accessories tracking and ensuring accurate inventory records.
Produce routine reports and performance metrics for the hire desk manager, including utilisation, quote conversion and outstanding collections.
Contribute to continuous improvement initiatives, process documentation and training to enhance customer service and operational efficiency.
Skills and Attributes
Proven experience in hire desk, hire administration, customer service or office administration within plant hire, construction or logistics sectors.
Excellent organisational skills with the ability to prioritise tasks, manage workloads and meet deadlines.
Confident verbal and written communication skills with a professional telephone manner and customer‑centric approach.
High attention to detail and accuracy when preparing contracts, completing data entry and managing records.
Good IT skills and confidence using Microsoft Office (Outlook, Excel, Word) and experience with hire or CRM systems.
Ability to work collaboratively across teams, build positive relationships with depot and transport colleagues, and remain calm under pressure.
Flexible, proactive and customer‑focused with a commitment to health & safety and company procedures.
Qualifications
Essential
Previous experience in a hire desk, customer service or administrative role with relevant sector knowledge.
Competent IT skills with experience of Excel and electronic record keeping.
Good communication skills and the ability to manage multiple stakeholders professionally.
Desirable
Experience with hire management systems, CRM platforms or telematics solutions.
Familiarity with plant hire processes, equipment types and basic maintenance/inspection checks.
Previous exposure to billing, invoicing or credit control processes.
