Job Overview:
The Bid Coordinator will play a crucial role in supporting the business development team by coordinating and managing bid processes for various projects and proposals. This position will involve collaborating with internal teams, stakeholders, and external partners to ensure that bids are completed on time and meet the required standards. The ideal candidate will possess strong organisational skills, attention to detail, and excellent communication abilities. Some key functions of the role are:
- Assemble bid content for EOIs / PQQs / Tenders.
- Take ownership of standard answers for PQQs and liaise with internal and external teams to help coordinate answers to quality sections.
- Develop presentation documents and final submissions using Adobe or Office formats (unless you have a preferred alternative).
- Work with subject matter experts and technical teams to help write bespoke content and enhance existing content.
- Work with the marketing team to input and manage content within our data library (photos, case studies, standard answers, CVs, etc.)
Main Duties/Responsibilities:
- Complete standard sections for selection questionnaires and assist with ITT Qualitative answers, either from own knowledge or information gathered from the internal team.
- Help write bespoke content working with subject matter experts throughout the business and supply chain partners.
- Identify key client deliverables to incorporate within submission and ensure content is developed and inserted into the final document.
- Develop / update case studies and CVs and manage these on the data library.
- Attend internal launch and tender review meetings and manage deliverables matrices.
- Help to ensure final tenders are fully compliant with the tender requirements.
- Help maintain library of suitable written content and collateral.
- Proofread documents prior to submission.
- Manage portal log ins and take ownership of submitting required documents for submissions in clients preferred manner.
Administration:
- Assist in preparation of presentations and other bid collateral.
- Monitor portals for clarifications/emails and issue to the team.
- Contribute to Preconstruction / Comms meetings to share knowledge with the wider bid teams and improve how we work.
- Assist Proposals and Bid team in continually improving the quality of submission.
Qualifications/Expertise:
- Experience of working within a bidding team, ideally for a Tier 1 - 2 Contractor.
- Experience of public sector tendering.
- Experience of completing successful SQs and ITTs.
- Firm grasp of grammar and accuracy and attention to detail.
- Proven IT and Office skills.
- Excellent communication skills; written and verbal.
- Ability to juggle multiple priorities within demanding timescales.
- Able to work effectively as a member of a team.
